Summary This position will be providing clerical and administrative assistance to the Chief Flight Instructor and Department Secretary by performing the following duties. Essential Duties and Responsibilities 1.Maintains Chief Flight Instructor and other Flight Staff schedules by maintaining calendars; arranging meetings; conferences, teleconferences; and travel. 2.Fulfills requests by greeting customers over the telephone, or in person; referring or answering inquiries. 3.Sets up Flight lab schedules for students in the online scheduling system. 4.Assists in preparing flight school budget; analysis reports. 5.Assists with tracking aircraft maintenance and provides daily reports of aircraft status to the A&P (Airframe/Power plant) mechanic. 6.Maintains office supplies by checking stock to determine inventory level; anticipating needs and supplies; and placing and expediting orders for supplies. 7.Submit receipts for the flight staff for re-imbursement. 8.Submit work orders for specific needs at the Flight Operations Center. 9.Assists Chief Flight Instructor with any necessary paperwork. 10.Arranges check flights for students with the FAA examiner. 11.Reviews all necessary paperwork or forms submitted to the FAA for student check rides. 12.Ensures inventory and equipment at the Flight Operations Center is in proper working order. 13.Produces information by formatting spreadsheets; inputting and editing data. 14.Serves as Proctor for FAA Testing Center, as needed. Supervisory Responsibilities This position has no supervisory responsibilities. The requirements listed below are representative of the knowledge, skill, and/or ability required. -Skill in the use of personal computers and related software applications. -Ability to make administrative, and procedural decisions and judgments on sensitive, confidential issues. -A thorough knowledge of: Business English and arithmetic; general office methods, procedures and practices. -Ability to plan, develop, and coordinate multiple projects. -Ability to read and write at a level appropriate to the duties of the position. -Ability to use independent judgment, and to manage and impart confidential information. -Ability to gather data, compile information, and prepare reports. -Strong interpersonal and communication skills, and the ability to work effectively with a diverse faculty, staff and student body. -Ability to supervise and train staff, including organizing, prioritizing, and scheduling work assignments. -Strong organizational skills and detail oriented. -Ability to maintain confidentiality. -Excellent telephone courtesy, knowledge and experience. -Ability to coordinate and organize meetings and/or special events. -Knowledge of standard budgeting and expenditure control procedures and documentation. -Ability to interpret, adapt, and apply guidelines and procedures. -Ability to make administrative/procedural decisions and judgments. -Ability to create, compose, and edit written materials. -Ability to develop and maintain recordkeeping systems and procedures. -Ability to resolve customer complaints and concerns. -Ability to investigate and analyze information and to draw conclusions.
